Public Booking Data Privacy Policy

Introduction

The Hong Kong Country Club ("the Club") is committed to protecting personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486). This policy applies to members of the public using our online booking system.

Personal Data We Collect

We collect your title, given name(s), surname, email address, mobile number, and the first four characters of your Hong Kong Identity Card number. Provision of this data is voluntary; however, without it we are unable to create an account or process bookings on your behalf.

Purpose of Data Collection

Personal data is collected for the purposes of account creation, booking management, identity verification, payment processing, and service communications. Data may also be used in aggregate and anonymised form for service improvement.

Disclosure and Overseas Transfer

To fulfil bookings and process payments, we share relevant data with SevenRooms (reservation management) and Stripe (payment processing). Both are US-based service providers. By using our booking system, you acknowledge and consent to the transfer of your personal data as described. All service providers are contractually required to handle data securely and in accordance with applicable privacy laws. The first four characters of your Hong Kong Identity Card number are collected by the Club for identity verification purposes and are not transmitted to SevenRooms or Stripe.

Data Retention

Personal data is retained for a period of seven years from the date of your last booking or account activity, after which it will be securely deleted or anonymised.

Payment Information

The Club does not store credit card details at any time. All payments are processed securely by Stripe. If you choose to save a card for future use, this is managed entirely by Stripe Link; the Club has no access to full card details at any time.

Data Security

We take reasonable technical and organisational precautions to protect your personal data against unauthorised access, disclosure, or loss.

Disclosure of Personal Data

We may share data with SevenRooms for reservations and Stripe for payment processing. SevenRooms creates client records with name, email and phone number. Service providers must handle data securely.

Your Rights

You have the right to request access to or correction of your personal data held by the Club. Requests should be submitted in writing to privacy@countryclub.hk. A reasonable fee may apply to access requests. You also have the right to lodge a complaint with the Office of the Privacy Commissioner for Personal Data at www.pcpd.org.hk.

Accuracy of Information

Please ensure your personal data is accurate and up to date. Inaccurate information may affect your ability to make or manage bookings.

Policy Updates

This policy may be updated from time to time. The current version will always be available on the Club's website.
